Office & Administrative Coordinator

$50,000 to $62,000 Austin, TX Full-Time On-Site

This is the role that holds the office together. Supplies, vendors, calendars, onboarding paperwork, and the hundred small things that nobody notices until they stop happening. If you like being the person who knows where everything is and how everything works, read on.

You will be sitting in the same room as the owners. They are hands-on, they are here most days, and they will know your name and your coffee order by the end of week one. We run this company like a family, and the person at the front of the office sets the tone for all of it.

What You'll Do

  • Run day-to-day office operations. Supplies, equipment, mail, deliveries, and keeping the Austin office functioning and presentable for owners and partners who visit.
  • Manage vendor communications. Office services, IT support, building management, and the recurring accounts. You are the point of contact and you chase the follow-ups.
  • Coordinate calendars. Team meetings, conference room scheduling, and company-wide dates. You keep the shared calendar accurate and conflict-free.
  • Support HR onboarding. Prepare new-hire paperwork, set up workstations and accounts, schedule first-week sessions, and make day one feel organized instead of improvised.
  • Maintain records. Vendor contracts, invoices, employee files, and internal documentation, filed correctly, findable, and current.
  • Assist across the team. Expense submissions, meeting prep, and ad hoc project support for operations and leadership.

What We're Looking For

  • Strong organizational skills. You keep systems, not piles. Nothing gets dropped because it was in your head instead of written down.
  • Self-directed. You notice what needs doing and do it without being assigned.
  • Professional communication. You are often the first person a vendor, candidate, or visiting owner interacts with.
  • Comfort with office software. Google Workspace or Microsoft 365, plus a willingness to learn HR and expense tools.
  • Discretion. Onboarding and personnel files mean handling confidential information routinely.
  • Reliability. This role is on-site in Austin because the work is physically here.

Do Not Count Yourself Out

If you do not tick every box up there, apply anyway. We would rather bring in someone who genuinely wants a better path and train them properly than hold out for the longest resume in the pile. Most of the people who have done well here did not arrive knowing everything.

Training is paid and it is part of the job, not a favor. Show up wanting to learn and we will do our part.

Nice to Have

  • An interest in the hospitality or property management industry.
  • Prior office coordination, front desk, or administrative experience.
  • Exposure to HR onboarding, payroll systems, or bookkeeping basics.

Benefits & Growth

  • Paid training. You are on the clock from day one while you learn the role. Nobody here is asked to get up to speed on their own time.
  • 401(k). Retirement plan available to full-time employees.
  • We promote from inside first. When a seat opens up we look at our own people before we post it anywhere. If you want a path, there is one here.
  • Direct access to the owners. No layers between you and the people making the decisions.

Compensation & Details

The base salary range for this role is $50,000 to $62,000, depending on experience. Full-time and on-site at our Austin, TX office. This is a strong entry point into hospitality operations. People who do it well here tend to move up into property or operations roles.
